HealthFirst operated 12 clinics across the US and managed all appointments through a phone-based system with two dedicated staff members. They were losing approximately 800 potential appointments per month due to after-hours calls going unanswered. Their existing website was built on an outdated platform with no booking functionality, no mobile optimization, and a PageSpeed score of 23 on mobile.
The Approach
We started with a 2-week discovery phase interviewing clinic managers and front-desk staff to map the exact workflow. Rather than recommending a third-party booking SaaS that would require ongoing subscription costs, we built a fully custom WordPress solution using Advanced Custom Fields to manage availability, custom PHP for the booking logic, and a clean Elementor Pro frontend that met HIPAA display requirements. The architecture was designed to be managed entirely by non-technical staff.
The Solution
We built a multi-location booking engine with real-time availability, automated SMS and email confirmations via Twilio, and an admin panel where each clinic could manage their own schedules. The patient experience was reduced from a 4-step phone process to a 3-click online booking. We also rebuilt the entire site in Elementor Pro with custom ACF-driven service pages, achieving a PageSpeed score of 94 on desktop.
Results
Within 90 days of launch, online bookings accounted for 68% of all new appointments. The two dedicated phone booking staff were reassigned to patient care roles. Patient no-show rate dropped from 22% to 13% due to automated reminders. Monthly booking volume increased by 38%.
