The Approach
This project required serious architecture work. We conducted workflow mapping sessions with 6 agents, the property manager, and the marketing team to understand exactly which data points mattered, what content needed updating most frequently, and where time was being lost. The decision to stay on WordPress was strategic — their team already knew the CMS and a full rebuild on a proprietary platform would have meant months of retraining.
The Solution
We built a custom WordPress property management system with a dedicated agent frontend portal using ACF and custom role capabilities. Agents could submit, edit, and manage their own listings without CMS access. We created automated image optimization on upload, a custom search engine using ElasticSearch integration, and a neighborhood data layer pulling in school ratings, transport links, and planning data via external APIs.
Results
Listing-to-live time went from 2-3 days to under 4 hours. Agent portal adoption reached 94% within the first month. The property search engine reduced bounce rate by 41%. PropVault expanded to three new property managers within 6 months using the same platform.
